Proposal Coordinator
This position requires contributing to the proposal process, partnering with marketing, administrative, and technical staff. Under the supervision of the Proposal Manager[MM1.1], this role will be responsible for day-to-day marketing support through organizing and coordinating activities involved in the preparation of marketing proposals, qualifications packages, and submittals including DOT and municipal agency prequalifications.
Responsibilities
- Contribute to proposal process from opportunity to “win”.
- Contribute to the creation and maintenance of marketing materials.
- Contribute to the management of pursuit related data within internal CRM databases (VantagePoint).
- Conduct lead finding efforts and lead opportunity management.
- Coordinate, prepare, and support technical and corporate staff on presentations, proposals, and qualifications. This may include:
• Review RFP and RFQ request documents to ensure client requirements are clearly understood.
• Prepare proposal outlines, lead proposal team kickoff meetings, and assign deadlines for document development, reviews, production, and delivery.
• Organize all technical written material supplied by proposal contributors including written content, tables, graphs, images, exhibits, and attachments.
• Ensure responsiveness to RFP/RFQ, thoroughness, accuracy, and quality using a persuasive and active-voice writing style.
• Update marketing collateral as needed.

The ideal candidate will possess the following qualifications:
- 2-5 years of relevant proposal coordinator experience. Experience with an A/E/C professional services firm is preferred.
- Bachelor Degree in Marketing, English, Journalism, Communications, or a related field.
- Excellent verbal communication, presentation, active listening, and interpersonal skills.
- Excellent business writing and grammar skills, as well as strong editing and proofreading skills.
- Excellent attention to detail, as well as strong proofreading skills.
- Excellent creative and problem solving skills focusing attention on details.
- Energetic team player who can work comfortably with people of diverse skills, experience, and opinions, including senior management.
- Excellent multi-tasking, time management, and organizational skills with the ability to balance short-term deadlines against long-term goals; ability to understand and organize large volumes of information.
- Self-starter with ability to recognize ideas.
- Display a friendly, approachable, and confident demeaning and feel comfortable meeting with all personality types and enjoy the process of working as a team while contributing individually.
- Ability to network and connect with internal stakeholders, teaming partners, and professional organizations as-needed. Computer literacy for all major business programs and email systems, proficiency in Microsoft Office programs is required.
- Knowledge of Adobe Creative Suite programs is required.
- Familiarity with customer relationship management databases is preferred (i.e. Deltek Vision/VantagePoint).
